Four Parts of an Email That Gets Answered

Most business emails fail for the same reason: the reader cannot tell what they are supposed to do. A busy person opens your message, scans it for three seconds, and closes it again with a vague plan to deal with it later. Later rarely arrives. Writing a good email is therefore less about elegant vocabulary and more about removing that moment of confusion.

Start with the subject line, because it decides whether your message is opened at all. A subject like "Question" tells the reader nothing. "Budget approval needed by Friday" tells them the topic, the action, and the deadline before they open anything. Treat the subject line as a summary, not a label.

Your opening sentence should state your purpose immediately. English business writing does not reward long introductions, and phrases such as "I hope this email finds you well" are optional at best. Compare "I am writing to ask whether you can review the attached contract" with three sentences of polite warm-up. The first version respects the reader's time, and respect is a form of politeness.

Next, make the request concrete. Vague verbs such as "look into" or "handle" leave room for misunderstanding. Instead, name the action and attach a date: "Could you send your comments by Thursday afternoon?" If there are several requests, use a short bulleted list. A reader who can see the tasks will complete them; a reader who has to extract them from a paragraph often will not.

Finally, remember that politeness in English comes from tone rather than length. "Could you" is softer than "Can you," and "I would appreciate it if" is softer still. You do not need to apologize for writing, and you do not need to end with a paragraph of thanks. One clear sentence, one clear request, and a simple "Thank you" will do more for your reputation than any amount of decoration.
